Region 8 PREP Rules

On the floor clarifications for Silver, Gold and Platinum the first description said " *1 acro series SR & 1 dance series SR minImum"  Some people were misinterpreting this to read that athlete had to do the Dance Passage when it was meant to state athlete had to do one Special Requirement from a dance category.  I changed floor to "*1 acro category SR & 1 dance category SR min."  Then I looked at Beam and it says "*Must do 1 Acro SR  and 1  Dance SR minimum".  After conferring with Marian I changed Beam to read the same as floor. 

SO, there is not really any change.  Only clarification!

Deb K explained the minutes from the Regional Committee. The 2010-2011 JO Operating Code will be changed to reflect changes in the operations for State Committees’ elections. Marian requested a suggestion to USAG that candidates be listed on the ballot alphabetically by last name with resumes following.
 
      6. National and Eastern Judges’ Selection 2001
There was a long discussion of the judging selection process for Regional competitions:
 
From previous Board discussions, a rule of thumb would be that if a Regional assignment is turned down after a contract has been issued the affected judge will be placed at the bottom of the rotation.

                        Recommendation that if a Regional judging emergency occurs within 24 hours of a Regional meet, the Regional Committee shall give authority to the Technical Director to adjust assignments . If possible the Technical Director shall contact other Regional Committee officers.

g)    Regional Financial report  - Deb K presented Income statement for Region 8 and Analyzed Checking account for Region 8. Ending balance of $9223.90.
 
h)    Travel Fund – Deb K presented Travel Fund statement for Region 8. Ending balance of $23,686.74
 
i)      Hurricane Fund – Deb K presented the Hurricane Fund from Region 8. Ending balance of $2026.66. $2,000.00 of this amount is from Region 8 account start-up funds.
 
j)      $1,000 auction fee to Region 8 – Deb K reminded state chairs that their$1000 fee was due to her by end of auction. Most decided to wait and write check after the auction.
 
k)    PREP Rules – As a group, the Committee worked on revisions and compromises of Prep Rules for almost 2 hours. Previous discussions on the Rules took place in late April at Prep Regionals in Charlotte, NC for 3 or 4 blocks of time and at the state chairman workshop in Las Vegas in May.
 
 
l)      PREP Opt – Questions asked by Deb K. - How do we qualify, Individual teams awards or just state teams, provide competition for teams that want to compete
Consensus - no change in how each state allows the gymnasts to go   to Regionals.
 
m) PREP Optional Committee – The discussion resulted in the statement that the Prep Optional subcommittee served the Region well during the transition period between the Regional Invitations to the Prep Regional meet. The Region 8 Committee is grateful for time and effort given and for the passion displayed. The Region 8 Committee will now accept the responsibility for the development of the program, asking for input from the membership at large.
 
n)    PREP Optional Rules/ Scratch replace timeline - Deb K requested that no replacements be used for scratched gymnasts.
 
o)    PREP Opt, Level 7, 8 and 9 & 10 Regionals Medals – Choice of medals for PREP and 7. Use of Uni for part of 9 & 10 50% for all or PREP all the way out
 
Previously Deb K has used Regional A-1 medals for 50% of each age group for Levels 8,9, & 10 Regionals. She stated that Kathy Ostberg thought we only had to do that @ 8,9, & 10
 because that’s what all the other Regions are required to do.
Deb K asked to be able to have a Region 8 logo on medals – yet still    award 50% out.
The discussion finished in a consensus that Prep Optional Regionals will award AA medals for all gymnasts. A special medal or trophy shall be given for those who have not placed AA.
 
p)    Level 7, 8 and PREP Team Awards –Deb K led the discussion of procedures for awarding Team placements.   In the past procedure awards were to announced the bottom 4, call up to the stand the 4th, 3rd, 2nd and 1st
The consensus of the Committee was to keep the process as 2010 – Call out the last four teams in no order (all at one time), then present the 4th, 3rd, 2nd, & 1st place state teams.
 
q)    Selection of PREP Optional judges for 2012 – Deb K reminded the Committee that in past we’ve recommended 2 judges per state, but had to add another 16 judges two weeks before the competition for the 2010 Prep Regional. Lots of discussion followed.
 
Recommendation to change judging selection procedures for Prep Optional Regionals for Regionals 2012 as follows:
 
Explanation:
In order to be eligible to judge 2011 only Prep Opt Regional , the Region 8 Committee is requiring availability criteria. Those judges who have already submitted in-gym for higher levels will have their in-gym criteria fulfilled. Judges who have not submitted at higher level will need to fill out an in-gym form for Prep Optionals, including a requirement of 3 in-gym hours of PO or higher. The PREP judges availability form will be on website no later than 7-1. The form shall be back to Marian by Aug 15. Marian shall send information to the State Committees by Sept 3rd. Region 8 Committee will vote at National Team Training Camp September 10-12, 2010.

u)    Region 8 Coach of the Year Criteria
Each state will continue to set its own criteria for the award.
States may be able to nominate and elect more than one name (a team from a gym) for the award.
 
v)     Training Camp for Level 9 State qualifiers. Level 8 State Qualifiers – No changes at this time.
 
w)   Brad gave the New York City trip information for the National qualifiers.  The Committee discussed the problems which arose when the term “gyms in good standing” was insufficient to apply to some of the qualifying gymnasts.
 
            Recommendation to change the criteria for member ‘in good standing’ to be considered 1 out of two consecutive years for Send volunteer coaches to a Camp to actively work
with gymnasts 1 out of two consecutive years and Send athletes to a Camp 1 out of two consecutive years, making a change in the Region 8 Rules & Regulations effective for the 2010 July trip forward.

Brad suggested that a description of amenities to coaches be listed on the bid form. The description should be in detail. Regional meet directors should expect to have at least 3 coaches for each athlete for meals and beverages (water, etc.)

Deb W let the Committee know that Mary Stepp wanted to work with the Region, delivering leotards to the Regional meets. The plan would be that the leotards would be sent to the meet site by the Regional date. She presented a letter from Ms. Stepp to the Committee. 
Discussion followed.
·      Suggestion that we let GK know that the Region would like to hear from other companies and accepts other bids. 
·      Discussion of this item would be on the winter agenda. 
·      Bids would be due at National Team Training Camp. 
·      Jon suggested that we go with one vendor for the team leotards.  
·      The Committee would still like to have the meet be a pink meet.
·      Individual states may carry the theme through all the different Regionals.
 
g)    PREP Opt Regionals – Do we want to support a charity? Not at this time.
 
h)    Online registration for Regionals
All clubs with qualified athletes will be required to register their athletes ON LINE for the Regional competition no later than Monday following the State meet - in the past coaches gave their entry forms to the SACC at the state meet.  Now each team will be responsible to take care of it on line. Deb K will work on a commitment form for each club to be given to coaches at the coaches meeting. This will be used to strongly encourage clubs to commit early about going to Regionals.
9.    State Chairman concerns
a)    Financial Statement due 7/15/10 to John Hewett and with receipts to Deb
b)    Inventory report due 7/15/10 to Deb
c)    USAG Competitive information report due 8/31/10

Travel information for National Congress

Attached are the transportation opportunities that are available for a nominal fee in Hartford.  There is really no reason to rent a car. One will be able to save money by not renting a car and not having to pay for city hotel parking.  


 
Hartford is very walkable.  There are also free bus shuttles ( Star Shuttle) from all of the hotels to the XL Center and other points in downtown.  ( May find walking is faster, but the bus is there for those who may need or want it.)
 
Please get this travel information out to your members.  Can you post this on your websites?  We are posing it on our website and will send to all registered congress attendees. We will also include it in our weekly bulletin and the last congress bulletin.  But registration for this is coming fast – August 4.
 
National Travel Systems is also adding some hotel rooms.  Tell your folks to contact them for availability if they were not able to get a room.  But the rooms will go fast. There are also rooms in Farmington, CT and that is not far but will need a car.
 
We now are only accepting congress registrations onsite, but there will be a $ 50 discount coupon posted on our website as well as in Technique that they can use for onsite registration.  They must have a copy of the coupon with them.  The coupon will be on the website by next Monday.  Thanks for all of your help and support.  This promises to be the biggest and best congress and VISA championships to date.  There are a lot of new things happening in Hartford. Rest up because the days will begin early and can end late!
 
And last but not least the registration for the Business Conference has been extended to July 30.  This is an educational event that truly should not be missed.  A special Trade Show Hall opening and reception will begin at 5:00 pm for all attendees of the business conference.  They will be the first to see the hall, receive complementary food and drinks,  prize drawings and goodie bags from the United States Gymnastics Suppliers Association.  This will allow business conference attendees a special time when they can talk to the companies and representatives that do the business of gymnastics. SIGN UP TODAY!  There will be NO onsite registration for the Business Conference.

I am very sad to tell you that Fred Martinez passed away Tuesday, July 13, 2010. Visitation is Thursday, July 15th from 6 to 8 and funeral is Friday, July 16th at 1:00 both at Miles-Odum Funeral Home, Waycross, GA.  You may read obituary at Fred Martinez.

Entries for all Region 8 Competitions online!

All 2011 Regional competitions will be entered online. No more fill out those entry forms at state meet. Any athlete who qualifies for Regionals must be entered by their coach online by midnight the Monday after State Meet. Entry payment may be made with credit card or checking account withdrawal. Coaches will be able to enter all of their athletes information prior to state meet, so that after athlete has qualified coach will just have to check the gymnasts who are going to compete at regionals.

Tim Rand Memorial Fund

Tim Rand Fund
When Tim passed away 3 years ago, I was not sure at first what to do with the generous outpouring of support I was receiving from so many people in the gymnastic community. However, within a day or two I realized that the only thing to do was to continue Tim’s passion for education and support of our athletes and that is how the Tim Rand Fund started. In less than 3 years the fund has generated over $40,000 in donations and has paid out over $16,000 in contributions to the Region 8 athletes, coaches and judges. Recently, thanks to the work of Tom Reynolds we have put together a collection of some of Tim’s Elite Coaches Association videos into DVD format and gave these DVD’s as gifts at Congress to anyone who made a $100 or more donation to the fund. The 10 sets (total of 12 DVD’s) were gone within hours. We are currently working on having more copies made and we hope to be able to offer this gift to future donations during the next year. 
The TRF biggest contribution to the Region so far has been to pay for the National JO entry fee for all Region 8 qualifiers paying out $11,600 over the last 2 years. But we want to do more and we need your help – We would like to pay the National entry fee for all our Level 9 & 10 athletes that qualify to the National meet in 2011 – the cost of this would be around $17,500. To help us realize this goal I am asking that everyone consider making a small donation to the TRF this year especially if you have level 9 & 10 athletes that may make the National competition or if you had athletes at JO Nationals the last 2 years. We were very pleased that we have started to receive some donations from parents that had children at the National competition last year – we hope that all clubs will give this information to their booster clubs and parents so that they are aware that this is being done. Consider this: If every club in our region made a $50 donation we would raise well over $30,000 and think of the good things that we could do for our region! I sincerely hope everyone will consider what you can do.
In this newsletter and on the Regional web site we have made a list of contributors to the TRF over the last 3 years. I thank everyone for their generous support and I hope to see more names on this list in the future –If Tim were here he would be so grateful for everything - I know he is smiling somewhere and is wishing all of you the best of luck over the next year!
